Assignment 3: Write a Complaint Email (25%)
Purpose
The purpose of this assignment is to give you an opportunity to demonstrate your ability to select appropriate objectives,
tone, content, grammar, and style in your writing. You will need to employ effective writing strategies to properly
construct sentences and well-organized paragraphs in order to produce effective business correspondence for a given
purpose and write a clear, cohesive and concise business message.
How to Proceed
1. Read through the below scenario.
2. Identify the communication purpose and determine if you are writing to internal or external audiences.
3. In Microsoft Word, write a complaint email using an appropriate style, tone, and voice. Be sure to write using
plain, bias-free language.

4. Before submitting, run your email through a Word. Your document must be at a Grade 8 level or lower on the
Flesch-Kincaid scale.
5. Your final assignment should be submitted in Word as a .doc format and should include:
a. sender and recipient information;
b. subject line;
c. salutation;
d. introduction, body, and conclusion; and
e. closing and signature.
6. Submit your first draft of the report through the Assignment 3: First Draft dropbox in UM Learn by the deadline
specified in the course schedule. Your instructor will provide you with feedback on your writing.
7. Based on the instructor feedback, make changes to your assignment as necessary.
8. Submit your final draft of the report by the deadline specified in the course schedule to the Assignment 3: Final

Scenario
The UMCycle Bike Kiosk is a full-service bike shop at the centre of the University of Manitoba, Fort Garry Campus. The
bike shop is expanding to include a bike sharing program similar to that used by the University of Toronto Mississauga and
other Canadian colleges and universities.
The University ordered 50 bicycles from a Sports Unlimited, a national sporting goods retailer, but has been fielding
complaints from users on a nearly daily basis since the bike fleet was put into operation one month ago. Bike gears keep
slipping and tires are going flat. The quality of the equipment does not live up to the promises made by the vendor. The
vendor's contract with the University does include a 90-day warranty, the terms of which require the vendor to either
repair the defective product without charge for parts and labour, or provide a replacement in exchange for the defective
product.
As the Communications Coordinator for UMCycle, your job is to write a complaint email to a vendor to resolve the
problem, making it clear what you are asking for, why it is important and timelines for resolution.
