Organize your message into an opening, body, and closing following standard claim

letter conventions.

1. Opening: take the direct approach by stating in a single sentence exactly what you want

the recipient to do; include only necessary details.

2. Body: in a proper three-part paragraph, summarize (i.e., selectively paraphrase) the

details given in the Scenario description on p. 1 above to justify your claim and use a

bulleted list to document the purchased items.

3. Closing: in a couple of sentences, reiterate your request along with a deadline for

compliance and confirmation, as well as end pleasantly to keep the door open for future

business with the supplier.
